In many cases, this comes as an afterthought when order volumes increase. Though Shopify as a sales channel gets added and starts contributing to revenue, reconciliation becomes a nightmare for the finance team in this case.

Unlike traditional B2B transactions, most Shopify B2C orders are paid online using a credit card or another digital payment method. Payment is typically authorized at checkout and, depending on the Shopify payment configuration, may also be captured at that time.

Step 1: Bring Payment Information into SAP When Creating the Order

For this article, we will assume that SAP does not have its own payment processing engine and that Shopify handles payment authorization and capture. Even if you already have a payment processing solution in SAP, the overall reconciliation approach remains largely the same.

When downloading an order from Shopify into SAP, two additional pieces of information are particularly important:

  • Shopify fees and charges associated with the transaction.
  • Payment authorization details, including the external authorization or transaction reference that can be used for subsequent reconciliation.

SAP ECC and SAP S/4HANA provide a standard Payment Cards tab in the sales order.

This allows you to record an externally authorized payment, indicating that the authorization has already taken place in Shopify. The corresponding authorization number and amount can be maintained against the SAP sales order.

By marking the transaction as externally authorized, SAP can be configured to recognize that authorization has already been performed by the external payment system, rather than initiating a fresh authorization.

Importantly, there is no need to transfer sensitive customer credit card information into SAP simply to maintain this reference.

The authorization or transaction reference also provides an important link between the original Shopify order and the payment information that will later appear in the settlement records.

Step 2: Account for Shopify Fees and Charges in SAP

Another important consideration is how Shopify fees and charges are represented in SAP.

Depending on your pricing procedure and accounting requirements, you may need to configure a manual condition type in SAP to account for the applicable Shopify charges.

This condition type can also be maintained at the sales order header level, allowing it to apply to the entire order instead of individual line items.

The relevant account determination should ensure that these charges are ultimately posted to the appropriate General Ledger (G/L) account.

The objective is to maintain a clear relationship between:

  • The net amount expected from Shopify during settlement.

Step 3: Fulfillment, Billing, and Payment Posting

Once the sales order is created in SAP, the normal fulfillment process can continue.

An outbound delivery is created, goods are shipped, and the corresponding billing document is generated.

Since the original payment information was already brought into SAP, the billing and payment posting process can use the external authorization details, subject to the payment card and accounting configuration maintained in SAP.

This allows the invoice and related payment information to be accounted for without treating the Shopify transaction as a traditional unpaid B2B order.

The associated Shopify charges can also be posted to their designated G/L accounts using the condition type configured earlier.

The result is a much cleaner financial trail, connecting the original Shopify order, the SAP sales document, billing document, payment reference, and applicable charges.

Step 4: Reconcile Shopify Settlements with SAP

Shopify periodically remits the collected funds to the merchant based on the configured payout schedule. Depending on the merchant's arrangement, this could be daily, weekly, or at another interval. You can download the file from Settings → Payments → View payouts → View Transactions → Export

Select the required date range and export the balance transactions CSV. Shopify documents fields such as Order, Transaction Date, Type, Amount, Fee, Net, Payout Status and Payout Date.

A single Shopify settlement may contain payments from multiple orders, along with deductions such as processing fees, refunds, and adjustments.

How to Retrieve Shopify Processing Charges and Fees Using APIs

When a customer places an order in Shopify and pays using a credit card, Shopify captures the order details along with the payment transaction information. In addition to the gross order value, Shopify also provides APIs to retrieve the actual processing fees charged against the transaction.

These fees can be retrieved using the Shopify GraphQL Admin API through the OrderTransaction.fees field. The API can provide details such as the processing fee amount, percentage rate, flat fee, currency, and applicable taxes. This allows the integration to retrieve the actual Shopify charges rather than calculate them using an assumed processing rate.

However, the processing fee may not be available immediately when the order is created. In some cases, Shopify calculates and records the fee only after the payment has been captured and processed. Therefore, the integration should first retrieve the order and payment transaction details and subsequently check whether the processing fee is available.

For Shopify Payments, APPSeCONNECT can use the following approach:

  • Retrieve the order details when an order is created in Shopify using the orders/create webhook.
  • Retrieve the associated payment transaction using the GraphQL Admin API.
  • Read the OrderTransaction.fees field to obtain the actual processing charges, if available.
  • If the fee is not yet available, retrieve it again after payment capture or through a scheduled reconciliation process.
  • Store the Shopify Order ID, Transaction ID, gross payment amount, processing fee, and currency for subsequent reconciliation with SAP.

This API returns the gross transaction amount, processing fee, net amount, associated order, and payout information.
